How to Create A Batch, Enroll Learners and Lock the Batch – Yuno Learning

What is a batch?

A batch is an instance of a specific course with a fixed schedule for classes. A batch has the following attributes:

  • It’s for a specific course. 
  • Its classes have a defined schedule e.g. Mon-Fri at 3 PM or Tue, Thu, Sat at 9 AM, etc.
  • It is taught by a specific instructor. 
  • Each enrollment has a fixed duration allocated e.g. 6 weeks or 30 days, etc. 
  • While a batch usually has a fixed group of learners who attend the classes on the given schedule, a batch can also consist of just one student, that way all classes of the batch would be one-to-one between the learner and instructor.
  • Most importantly, a course can have multiple batches.

How to create a batch?

In order to create a batch on Yuno, you need to have an admin account. The batch creation functionality is available only to the admin. 

  1. First, log in to www.yunolearning.com using your admin account. 
  2. Once logged in, click on the ‘Batches’ tab which is located on the top right corner of your Yuno Learning home page.
  3. On the Batches page, you can see a list of all active and past batches. 
  4. To create a new batch, click on the ‘Create Batch’ button from the top right corner of this page.
  5. A prompt with two options appear on the screen to choose the class size. You can choose between group or 1-on-1 by clicking on the appropriate radio button.
  6. Once that, you are redirected to a form with the following fields:
  • Batch label: For eg. Monday 9:00 PM or Thursday 2:00 PM
  • Course: For eg. English Speaking for Beginners or IELTS Crash Course
  • Name of the Instructor 
  • Respective start date of the batch
  • End date of the batch:  Since all the courses have a fixed duration of time, once you select the start date, the end date is auto-filled based on the time period. For eg. If the duration of the course is 1 week and it starts on September 22nd, then its end date is September 29th. 
  • Days of the week: Mention which days of the week the classes are held. 
  • Class duration: Choose the duration of the class.
  • Time: Give the exact time at which the class will start.

   7. Click on create a batch to complete the process. 

Your batch is created!

 

How to view a batch

Now, if you want to view the batch that you just created or an old batch. 

Go to the Batches tab, type your course name in the ‘select course’ field and select the enrollment start date from the list of options given. The enrollment start date is nothing but the date from which the students start enrolling in the course. So select the date accordingly. 

 

How to enroll learners in a Batch?

If you are already on the Batches page, you can skip this step, and directly type the name of the course in the ‘Select Course’ field. 

Or.  

Go to the Batches page by clicking on Batches on the top right corner of your Yuno Learning home page, after you have logged in to www.yunolearning.com with your admin account. Once there, type the name of the course in the ‘Select Course’ field to find all the running batches.

A full list of active batches for that particular course is displayed on your screen. 

To find your particular batch, click on the enrollment start date, which is the date on which that particular batch got started.

Scroll to find the batch you want to add your learners to. Now, look for the ‘Actions’ option by dragging your mouse pointer to the far left corner of that batch. Then click on the ‘new enrollment’ option present in the actions column of your respective batch. 

A form appears on your screen with the following fields:

  • Name of the student: Type the name, email, or phone number of your student. Select from the drop-down menu. 
  • Course/batch name: Since you are enrolling learners into an already existing batch, the batch column will automatically be filled. 
  • In the payment type column, you need to select any 1 of the following 3 options:
  1. One-time payment: Select this option if the student has paid the full amount. 
  2. Payment in installments: Select this option if the student opts to pay in installments. No more than 3 installments are allowed. 
  3. Enroll without payment through Yuno: This option is available for students who choose to pay via any other mode than paying through the Yuno portal. Simply select the counselor’s name and the mode of payment from the drop-down list.

Note: In the given form, you will see a column named ‘Note for customer’. The purpose of this column is to keep a track of the number of installments that are due from the customer’s side. Or for any other information that the counselor must know about that student.

Once done, click on the ‘Enrol’ button to complete the enrollment process.

 

How to lock a batch?  

After a batch reaches its maximum capacity, meaning that there are no seats available in the batch, it can be locked by taking the following steps: 

  • To lock a batch, go to the respective batch that you need to lock. 

If you do not know how to find the batch, click on the enrollment start date, which is the date on which that particular batch got started. 

  • Now, look for the ‘Actions’ option by dragging your mouse pointer to the far left corner. 
  • Click on the ‘Edit’ option present under the ‘Actions’ column of your respective batch. 
  • A form will appear on your screen. 
  • To lock the batch, scroll down the form and tick down the ‘Locked’ option. 

When done, you can go to the Batches tab again, and see the change yourself.

 

New filters to manage batches easily

To make it easy for counselors to access a particular batch, the Yuno Learning platform has introduced new features that can help them filter the batches according to their own preferences. Let’s have a look at them one by one. 

  1. Select course: This feature allows you to check batches for a particular course. For eg. English Speaking for Beginners, IELTS Crash Course, etc. 
  2. Select Instructor: It allows you to see batches for a single instructor.
  3. Class days and time: It helps you in filtering the Batches according to the time of the class and the days on which it occurs. You can select the days and times like morning, afternoon, evening, and night. 
  4. Personalization: It helps you to filter classes according to the way the class is taken, i.e. 1 to 1 or Group. 
  5. Show only enrollable: This filter allows you to see only the Batches that have vacant seats. 
  6. Show only locked: It helps you to see the batches that have no seats left. 
  7. Active batches: This tab gives you a list of all the Batches that are currently going on. You can view batches according to the dates and get an insight into the total number of active batches and vacancies in them. 
  8. Past batches: It helps you in getting information about the Batches that have ended.
